Telegram bot for customers: free debt and payment notifications

An SMS limit can run out, but a Telegram message costs nothing. Once your customer links to the bot, they get a message in Telegram whenever a debt is recorded or a payment is received. You, in turn, can send mailings to linked customers and see who received them.

How to link a customer to the bot

The customer card has an “Invite to Telegram” button. Tap it and pDaftar prepares an invitation for the customer: an SMS text with the app install link and the bot link. “Open SMS app” sends the message to the customer from the SMS app on your phone, and you tap “Mark as sent”.

The customer taps the link and shares their phone number in the bot — that links them to your shop. A customer can also find the bot on their own and send their number. A linked customer’s card shows “Client is already linked to Telegram”.

The number the customer shares must match the number in their pDaftar card — the bot links them to your shop by that exact number. The customer card has a “Telegram bot message history” section: it shows which message went out and when, side by side with the SMS history.

What messages the customer receives

When you record a debt, receive a payment, cancel an entry or change its note, the bot sends the linked customer a message. The text is taken from your SMS templates, so there is nothing extra to set up. If the debt was recorded with a sales list, the customer also receives the list of products.

These messages are not deducted from your SMS limit. If you do not want a customer to receive both SMS and Telegram, the customer card settings let you manage “Telegram messages” and SMS notifications separately.

For the customer this is convenient: the messages stay in Telegram and they can look back at them any time. Your shop phone is inside the message, so if a question comes up, they contact you straight away.

Telegram mailings and statistics

On the “Telegram mailings” screen tap “New mailing” and pick the customers linked to the bot; the list can be searched by name or number. For the message, take a ready template or type your own in the “Or write your own” field — no moderation needed. “Send now” or “Schedule” — both work.

After sending, the mailing card shows how many messages went out and how many failed. The status of each mailing — pending, sending, completed or canceled — is shown in the list; a mailing that has not started yet can be canceled. You can also message a single customer on Telegram: the customer card has a “Send via Telegram” button.

Mobile app and web version

Messages are sent from the server, so it makes no difference whether you record the debt from your phone or from the web version — the linked customer receives it either way. Debts and payments recorded by your sellers trigger messages in exactly the same way. Inviting a customer and sending Telegram mailings is more convenient in the mobile app, because the invitation SMS goes out from your own phone.

How to use it

  1. Open the customer card and tap “Invite to Telegram”.
  2. Use “Open SMS app” to send the ready invitation text to the customer, then tap “Mark as sent”.
  3. The customer opens the bot from the link and sends their phone number — from then on they count as linked.
  4. The customer receives messages about the next debts and payments in Telegram.
  5. For a mailing, pick customers on the “Telegram mailings” screen, write the text and send.

Frequently asked questions

Are Telegram messages to customers free?

Yes, Telegram messages are not deducted from your SMS limit and nothing is charged to your wallet.

If a customer is not linked to the bot, how do they get messages?

By SMS, as usual. Customers who are not linked to Telegram do not appear in the mailing list.

Do Telegram mailings need template moderation?

No. Write your own text and send it right away, or use a ready template.

Does the customer get both Telegram and SMS?

It depends on the settings. In the customer card you switch SMS and Telegram notifications on and off separately.
