Seller report: what each staff member recorded and how much they took

With two or three sellers in the shop, the question “who recorded this debt, who took this money” comes up every day. pDaftar remembers who entered each record and gives you an action list and a summary for every seller.

All of a seller’s actions in one place

In the mobile app you open a seller from the “Staff” section — that is their profile. The “Actions” list holds every debt and payment this seller recorded: customer, amount, currency, date and type of action. Narrow the period with “From” — “To” to see, for example, only this week’s actions.

Actions with suppliers and the income and expense entries in the cash register are shown separately in the same profile. That way you can see everything a seller did during the working day. Tap an entry in the list to open the customer card and check the details.

Summary for customers, suppliers and cash register

The “Statistics” block in the seller profile gives three summaries. For customers: how many actions, total income (debts recorded) and total expense (payments received). For suppliers: how many actions, total income and expense. For the cash register: how many entries, total takings and total spending.

These numbers respect the period filter. At month end you open each seller’s summary and compare who took how much money and who recorded how much debt — enough grounds for a bonus or a closer look.

Who recorded it is kept everywhere

The seller report is not a separate table — the app attaches the staff member who entered it to every debt, payment and cash register entry. That is why customer and supplier reports also have a “recorded by” column, and the history of canceled entries shows who canceled them.

In the web version, the “Employees” page is where you manage the list of sellers, their subscriptions and the permissions matrix. The per-seller actions and summary are in the seller profile in the mobile app.

When to open it

At the end of the day, the cash in the register should match the “total expense” (payments received) in the seller’s summary — if it does not, the “Actions” list shows which payment was left out or recorded twice. When a customer says “I paid”, you can see which seller was on shift and what they recorded.

When you hire a new seller, make it a habit to open their “Actions” list every day for the first week: mistakes surface early, and fixing them is easy.

Together with permissions

From the same profile you also set the seller’s permissions: recording debts, cancelling payments, access to the cash register, viewing statistics and more. Based on what you see in the report, you can tighten or widen a permission right there.

For example, if a seller cancels payments too often, switch off their “Cancel income” permission and keep that action for yourself. Give a new staff member only the permission to record debts and payments at first, and open the cash register and statistics later.

How to use it

  1. In the mobile app, open the “Staff” section and select a seller.
  2. In the “Actions” list, review the debts and payments the seller recorded.
  3. Narrow the period with “From” — “To”, for example to the last week.
  4. In the “Statistics” block, open the summary for customers, suppliers and cash register.
  5. If needed, change the seller’s permissions from the same profile.

Frequently asked questions

Can a seller see their own report?

The seller profile and the report in it are meant for the shop owner. Sellers see the entries they recorded in the customer cards.

If a seller deletes an entry, does it stay in the report?

Debts and payments are not deleted, they are canceled. A canceled entry stays in the history, and you can see who canceled it.

Which plan includes the seller report?

It works in any shop that has a seller added. The number of seller seats depends on the plan — see the pricing page.

What if one seller works in several shops?

The report is shown for the selected shop. To see their actions in another shop, select that shop.
