Customer account statement: debts and payments as PDF or Excel
At the end of the month a customer says “I paid you that much”, and you are sure it was less. The quickest way to settle it is to put the numbers on paper. pDaftar turns a customer’s account for any period into a PDF or Excel file in a few seconds.
What the report contains
The header of the file shows your shop name, the customer’s name and phone number, the report type, the selected period, and who created the report and when. Below that comes the table of entries: date, type of action, amount, currency, note and the staff member who recorded it. At the bottom you get the total income and total expense for the period.
Because of this layout, a customer who receives the report can check every line against their own notes. If you have sellers working for you, the “recorded by” column shows whose entry you are looking at. The note column carries exactly what you typed when the debt was recorded — which goods, what was agreed — in the same wording.

Three report types and two formats
You pick the report type to match the job. “All” puts every debt and payment of the period into one table, ordered by date. “Expense” lists only the debts recorded against the customer. “Income” lists only the payments received from the customer. Each report is built in a single currency, so sums and dollars never get mixed up.
The format is PDF or Excel. PDF is handy for sending to the customer or printing — it opens on any phone. Excel is for when you want to recalculate, filter or hand the figures to your accountant. Both are built from the same data; only the presentation differs.
Plan limit and paying from the wallet
Every plan includes a certain number of customer reports per subscription period. Once that limit is used up, the app warns “Report limit exhausted”, and the next report is paid from your pDaftar wallet (or your referral balance). Prices and limits are listed on the pricing page.
If the wallet does not hold enough, the report is not created — you see “Insufficient funds in your balance” and a top-up button. Reports you created earlier stay in the list, and downloading them again costs nothing.
In the mobile app and the web version
In the mobile app you create the report from the “Reports” section of the customer card. The file is prepared in the background: first the status reads “Creating report”, then “Ready”. You download the finished file to your phone and send it to the customer through any messenger.
The web version has the same reports on the customer page. A report created on the computer also appears in the list on your phone, because both work from the same database.
When it really helps
When you settle up with a regular customer at month end, an “All” report shows both of you the same figure. If a customer denies making a payment, the “Income” report answers with the date and the amount. Your accountant only needs the “All” report in Excel — they can copy the rows straight into their own sheet.
The report also pairs well with the customer history link: the link shows the current state of the account, while the report preserves a chosen period as a file.
How to use it
- Open the customer in your customer list and go to the “Reports” section.
- Tap “Create report” and set the date range: “From” — “To”.
- Choose the report type: “All”, “Expense” or “Income”.
- Pick the currency and the file format (PDF or Excel), then confirm.
- When the status changes to “Ready”, open the file with “Download” or send it to the customer.
Frequently asked questions
Can I create a customer report on the free plan?
Yes. Every plan, including the free one, comes with a certain number of reports. The exact numbers are on the pricing page.
If the limit runs out, can I still create reports?
Yes, but each additional report is paid from your wallet. If the wallet is empty, the app offers to top it up.
PDF or Excel — which one should I choose?
PDF for sending to the customer or printing. Excel if you want to work with the numbers yourself.
If I download an old report again, am I charged again?
No. Created reports are kept in the list; even if the file is no longer on the server, it is rebuilt free of charge.
