Supplier reconciliation report: goods received and payments made
When you reconcile with a supplier, “we delivered this much, you paid that much” often ends in two different figures. pDaftar gathers every entry with a supplier for a chosen period into a single report.
What the report shows
The supplier report has the same structure as the customer report. The header shows your shop, the supplier’s name and phone, the period, the staff member who created the report and the date. The table lists every action: date, type, amount, currency, note and who recorded it. At the end come the total income and total expense for the period.
Expense means goods received from the supplier, in other words the debt recorded against them; income means the payments you made to the supplier. Both come from the entries in the supplier card — nothing is typed in by hand. The note you wrote when recording goods received — invoice number, product name — sits on its own row in the table.
Type, currency and format
The “Hammasi” (all) type lists every action of the period by date — the most convenient view for a general reconciliation with the supplier. To check only the goods you received, choose “Chiqim” (expense); to see only your payments, choose “Kirim” (income).
The report is built in one currency. If you work with a supplier in dollars, select dollars — entries in sums will not be included. The format is PDF or Excel: the first for sending, the second for working with the table.

Limit and wallet
Supplier reports have their own limit in the plan, separate from the customer report limit. Once it is used up, the next report is paid from your pDaftar wallet; if the funds are not enough, the app first asks you to top up the wallet. The limits are listed on the pricing page.
Created reports are kept as a list in the supplier card. Opening or downloading them again is free. If the file is no longer on the server, the app rebuilds it without charging you.
Where to find it
In the mobile app, open the supplier card — the “Reports” section is at the bottom. In the web version the same report is created on the supplier page, and the list looks the same in both places.
While the report is being prepared the status reads “Creating report”; once it says “Ready”, you can download the file and send it to the supplier. The list shows each report’s period, type, format and status, so you never have to hunt for an old file.

How it works in practice
A supplier’s representative arrives and says “this month you owe us this much”. You open the “Hammasi” report and compare it with their list line by line. If there is a discrepancy, you immediately see which day and which amount it belongs to — no need to argue over the overall figure.
At year end, or when you switch suppliers, save the “Hammasi” report as Excel and the whole history of the partnership stays with you as a file. Together with the supplier balances, it gives a complete answer to “who do I owe and how much”.
How to use it
- Open the supplier you need from the supplier list.
- In the “Reports” section, tap “Create report”.
- Set the period (“From” — “To”), the report type and the currency.
- Choose PDF or Excel and confirm.
- When the status turns “Ready”, download the file or share it with the supplier.
Frequently asked questions
Does the supplier report show the balance?
The report shows the total income and total expense for the period. The current overall balance lives in the supplier card itself.
What if I work in several currencies?
Create a separate report for each currency. That way the numbers stay apart and reconciliation is easier.
Is the supplier report limit the same as the customer report limit?
No, they are counted separately. When either runs out, reports are paid from the wallet; the numbers are on the pricing page.
Is there a limit on how long the period can be?
You choose the start and end dates yourself — it can be a week or a whole year.
