Seller permissions: what to show an employee and what to keep closed

Let a seller record debts but not cancel them. Let them add income to the cash register but not see the statistics. Every shop has its own rules. In pDaftar you set those rules with toggles on a single screen — a seller only sees the sections you open for them.

How the permissions are grouped

Each seller has around 50 separate permissions. They are grouped by section, so you won’t get lost in the list: client permissions, supplier permissions, cash register permissions, employee permissions, inventory and order permissions, SMS permissions and selling permissions.

The permissions are very fine-grained. In the cash register, for example, adding income, editing income and deleting income are three separate toggles. Selling works the same way: selling from stock, selling by scanning and the sales calculator are granted separately — so you can leave the scanner to the one employee you have trained on it.

The starting point: what is open, what is closed

A new seller starts with the permissions needed for everyday work: recording debts and payments, working with clients, adding income and expenses to the cash register. You switch off whatever they don’t need.

Another group of permissions works the other way round: it stays closed until you turn it on. These are the actions that expose the shop’s internal data or spend money: the employees section, stock levels and history, product statistics, selling channels, SMS templates and the AI invoice scanner. You enable these sections for each seller individually.

Permissions belong to the shop, not the person

Permissions are given to a role inside a shop, not to a user. The same person can be the owner in one shop and a seller in another — in each shop their own permissions apply. If you move a seller to another of your shops, you review their permissions for that shop again.

If a seller without permission opens a section, they see the message “You don’t have permission to view this section” and are told that the shop owner can grant it. No arguments: the app itself says who can do what.

In practice it looks like this. You leave the cashier with cash register income and expenses and close client statistics and export. You open stock history, stock levels and selling by scanning to the stockroom employee, but keep cancelling debts for yourself. Each seller gets their own set like this.

In the mobile app and the web version

In the mobile app you open the seller’s profile and switch permission groups on and off with toggles. In the web version the permission matrix opens from the sellers page — every permission in one table, easy to review on a large screen. In both places the change is written to the same database.

How to use it

  1. Open the list of sellers in your shop settings and pick the seller you need.
  2. Go to the permissions section — the list of groups opens: clients, suppliers, cash register, employees, inventory, SMS, selling.
  3. Turn each permission toggle on or off; under each one there is a short note on what it allows.
  4. Save. The new permissions apply the next time the seller opens the app.
  5. In the web version you do the same in the permission matrix on the sellers page.

Frequently asked questions

Can a seller record debts but not cancel them?

Yes. “Record expense” (a new client debt) and “Cancel expense” are separate permissions. Leave the first one on and switch the second one off.

Can a seller see stock levels?

Not until you turn it on. Stock history, stock levels and product statistics belong to the closed group and are enabled for each seller separately.

If I change a permission, does the seller notice right away?

The change is written to the database as soon as you save. The new permission applies the next time the seller opens that section.

Do the permissions also apply in the web version?

Yes. When a seller signs in to the web version the same permissions are checked; you can also configure the matrix on the sellers page in the web version.
