Stock control on your phone: quantities, prices and cost price

It is hard to keep in your head how many of each product are left and what you paid for them. A quantity written on paper is out of date within a week. The pDaftar warehouse stores every product with its quantity, price and cost price, and updates the stock on hand by itself after every delivery or sale.

What a product card holds

In the Warehouse section every product is its own card. It shows the name, internal code, barcode, unit of measure, sale price and current stock on hand. If you do not type a code yourself, the app assigns one automatically. The barcode is what you will need when you sell with the scanner.

Besides the sale price you can also set a separate credit price. Leave it empty and the markup from your shop settings is applied automatically. A description and a photo can be added to the card too, so the product shows up in your catalog.

How the stock on hand is calculated

You never have to change the quantity by hand. Receive goods from a supplier and the quantity goes up; sell from the Sale tab or the sales calculator and it goes down. Returns and write-offs move the same balance. Every movement stays on the product’s “Inventory management” page with its date and quantity.

The list carries “Available” and “Out of stock” labels, so you can see at a glance which product has run out. The “In stock” filter leaves only products with a positive balance. Set a “Running-low threshold” in your shop settings and the Products list under Statistics will flag any product that drops below that number.

The “Inventory management” page is split into two tabs: Incoming and Sales. Incoming lists every delivery with its date, quantity, supplier and cost price; Sales lists every sale line. The current stock on hand sits at the top. You can add a new delivery from this page as well — the app suggests the last supplier and the last cost price for you.

Price history: who, when and by how much

The “Price history” page inside the product card keeps every price change. There are three kinds of entry: the sale price changed, the credit price changed and the cost price changed. A cost-price entry usually appears when a new delivery arrives at a different price from the last one. Each entry shows the old price, the new price, the date and who made the change.

This is especially handy when sellers work for you: you can settle without argument who lowered or raised a price. The same history also shows you when a supplier is nudging their price up bit by bit.

Mobile app and web version

Creating products, receiving stock and selling all work in the mobile app and in the web version — it is one database. In the web version the product page shows the current stock on hand, lets you add a delivery and shows the stock-movement history. Price history and unit-of-measure settings open in the mobile app for now. You grant a seller permission to see the stock history or change prices separately.

How to use it

  1. Open the Warehouse section from the bottom menu and tap “Create product”.
  2. Enter the product name and sale price — those two are enough, you can fill in the rest later.
  3. Open the product card and add the barcode, credit price, description and photo.
  4. Record the opening stock through “Receive”: enter the quantity and the cost price.
  5. When a price changes, edit the sale price on the card — the old price stays in the history.

Frequently asked questions

What happens if a product’s stock goes negative?

Selling continues, but the Sale tab shows a reminder: “Record the received goods as a delivery”. Once you record the delivery, the balance corrects itself.

Do I have to type the cost price by hand every time?

When receiving stock, the cost price is asked for on every line, but the app remembers the last cost price and suggests it. If it has changed, you enter the new one and it goes into the price history.

How long is the stock history kept?

The stock-movement history is shown for a certain number of days depending on your plan. The page itself tells you how many days of history your plan opens; the full terms are on the pricing page.

Does the warehouse work on the free plan?

Yes, creating products, receiving stock and tracking the balance are available on every plan. Plans differ in the length of history and other limits.
