Sell by scanning barcodes: your phone camera as the checkout scanner

How the scanner works

On the Sale tab of the Warehouse section, tap the camera icon and the “Scan to sell” screen opens. Point the camera at the product barcode — the app reads the code, adds the product to the cart and the phone gives a short buzz. The screen stays open, so you move straight on to the next product. Scan the same product twice and its quantity becomes two.

If the barcode is not in your database, the app warns you: “No such product found”. In that case you enter the barcode on the product card once, and next time it is recognized. The “Done” button at the bottom shows how many products are already in the cart.

From cart to receipt

After scanning, the cart lists each product with its quantity and price. You change the quantity with the “+” and “−” buttons or by typing in the quantity field, and you can edit the price for this sale if needed. On the Sale tab, products with no stock are marked “Out of stock” and usually only available ones are shown; “Show all” reveals the rest. The cart can be cleared with one button. The list narrows as soon as you start typing in the search, and tapping a product name opens its card in read-only mode — check the price and stock, then return to the cart. Tap “Sell” and the client picker appears: find an existing client or add a new one with a name and phone number.

Then you set the payment type: cash, card, terminal, bank account or on credit. Enter the amount paid and the rest goes onto the client’s debt; if they pay more, the surplus lands on their balance. The paid part is recorded as income in the cash register. After saving, an invoice-style receipt opens: number, date, client, products, total, amount paid, previous and new balance.

Stock and control

The moment the sale is saved, each product’s stock on hand drops by the quantity sold, and the movement stays in the product’s “Inventory management” history. If the balance goes negative, the Sale tab shows a reminder to record the received goods as a delivery.

Permissions for sellers are separate: selling from stock and selling by scanning are two different permissions. You can let a member of staff open only the scanner and keep price changes to yourself. When a seller makes the sale, their name appears on the receipt’s “Seller” line, and on the client card the sale sits like an ordinary debt entry. Depending on your plan, the number of sales per month may be limited — when the limit is used up, the app warns you and the cart is kept.

Mobile app only

Because the scanner works through the phone camera, this feature is available only in the mobile app. The result of the sale — the client’s debt, the receipt and the stock on hand — also reaches the web version on your computer, since it is one database. A sale can be completed without printing the receipt.
