How to record customer debts and payments on your phone
Every item you sell on credit is money that has to come back later. In a paper notebook it disappears with a torn page or a forgotten line. In pDaftar a debt takes a few seconds to record and is kept together with the customer’s full history.
What a debt record contains
Each record holds the amount, the currency (soum or dollars), the due date and a note. If you like, attach a photo of the receipt or the goods — if a dispute comes up later, the proof is right there.
The record lands on the customer’s card: debts, payments and the balance on one screen, sorted by date. The customer’s total debt and the date of their last payment are visible right in the list.
- Amount and currency — converted automatically at your shop’s exchange rate
- Due date — a reminder goes out when it arrives
- Note and photo — what for, which goods, what you agreed
Taking a payment
When the customer brings money, tap “Payment” on their card and enter the full amount or part of it. The balance is recalculated at once, the payment goes into the history, and if you have set it up, the customer gets a confirmation SMS.
If cash book sync is on, the payment you took is booked into the cash book as income automatically — no need to write it down twice.
What happens if you make a mistake
A record can be edited or canceled, but it does not disappear from the history: you can see who changed what and when. When your sellers work with the records, this gives you control — a canceled debt does not quietly “go missing”.
The customer can see their own history as well: the list of debts opens through a link or the Telegram bot. Both sides look at the same numbers, so there is less to argue about.
Phone and web — one database
Record the debt on your phone and look at it on a computer in the web version — the data is the same. If you run several shops, each shop’s customers are kept separately.
How to use it
- In the “Clients” list, pick a customer or add a new one with “+” (a name and a phone number are enough).
- Tap “Record a debt” and enter the amount and currency.
- Set the due date — the reminder will go out based on this date.
- Add a note and attach a photo if needed, then save.
- When the customer pays, tap “Payment” and enter the amount — the balance is worked out for you.
Frequently asked questions
How many debts can I record for one customer?
There is no limit. Each sale stays a separate record, and the customer’s card shows the total balance.
Can I record a debt in dollars?
Yes. You choose the currency in the record; if you set your shop’s exchange rate, the conversion to soum is shown automatically.
If I delete a record, will the customer see it?
A canceled record stays in the history with the status “cancelled”. This is deliberate — so that the accounts stay transparent.
Is recording debts limited on the free plan?
Recording debts and payments is available on every plan, including the free one. Plans differ in how far back customer history goes, the number of SMS and other limits.
