How to sort customers into folders: regulars, wholesale, late payers
Once you have more than a hundred customers, a single list gets hard to work with: a wholesale buyer and someone who came in once sit on the same line. Folders bring order to that list — you create the groups that suit you and work with each one separately.
What a folder is and how to create one
A folder is a tab above the customer list. You give it a name, pick an icon and a color, then add the customers you want. For example: “Wholesale”, “Neighborhood”, “Regulars”, “Late payers”. The number of customers in the folder is shown right on the tab.
One customer can be in several folders: a wholesale buyer can stay in the “Regulars” folder at the same time. You can edit a folder later — change its name or color — or delete it when it is no longer needed. Deleting a folder does not delete the customers; they stay in the main list.
- Name, icon and color — to tell folders apart at a glance
- Customer count — right on the tab
- One customer — in several folders
Each folder remembers its own filter and sort order
Open a folder and set a filter — say, only debtors, amounts above 500 thousand soum, sorted as “Large debtors” — and that setting is saved for this folder. Switch to another folder and its own setting opens. Come back and everything is where you left it.
You feel the convenience in daily work. In the “Late payers” folder the overdue customers come first; in the “Wholesale” folder the list is sorted by amount. You never set the filter up again — you open the folder and get on with it.
- Only debtors or overdue debtors — works inside a folder as well
- “From” and “To” amount limits
- Sort order: recent, old, large or small debtors
Folders work in SMS campaigns too
When you create an SMS campaign, you pick the recipients by folder. Send “Regulars” a message about a promotion and “Late payers” a reminder — without picking names by hand. Set your folders up properly once, and every campaign after that takes a few seconds.
How to organize folders — practical advice
The more folders you have, the less useful they are. Three or four folders with a clear purpose are enough — base them on how you actually work with customers. A retail shop can get by with “Regulars” and “Late payers”. In wholesale it is handy to split customers by district or route — the courier covers one folder a day.
Customers never see the folder name; it is purely your internal system. So name folders in a way that makes sense to you, and pick colors by importance — red for late payers, for example. When you open the list, the color is the first thing you notice.
One structure in the mobile app and the web version
Folders belong to the shop: a folder you create on your phone also shows up in the web version. In the web version you can select several customers and add them to a folder in one go — much faster when you are sorting a large list. If you have several shops, each shop’s folders are kept separately.
The usual routine goes like this: do the first big sort on a computer in the web version — select hundreds of customers and spread them across folders. In daily work, open a folder on your phone, call the customer you need or record a debt. When a new customer is added, put them into a folder from their card right away, and the list stays tidy.
How to use it
- On the “Clients” page, choose “Create folder” in the folder row.
- Enter a name, pick an icon and a color, and save.
- On the customer’s card, tap “Add to folder” and tick the folders you want.
- Open the folder and set its filter and sort order — they are saved for this folder.
- When creating an SMS campaign, pick the recipients by folder.
Frequently asked questions
Can I put one customer in two folders?
Yes. A customer can be in as many folders as you like; the “Add to folder” window shows which folders they are already in.
If I delete a folder, are the customers deleted too?
No. A folder is only a label; the customers and their debt history stay in the main list.
Does a filter in one folder affect other folders?
No. The filter and sort order are saved for each folder separately; when you switch folders, that folder’s own setting opens.
Are folders available on the free plan?
Yes, customer folders are available on every plan, in the mobile app and in the web version.
