How to record installment payments and close an agreement
Once the installment agreement is set up, the real work begins: the customer comes in every month, sometimes paying in full, sometimes half. Writing each payment against the right row and recalculating the balance is exactly where mistakes creep in. In pDaftar you enter the payment once and the schedule updates itself.
What the agreement page shows
In the “Installment” section of the customer’s card, each agreement is its own card: total amount, remaining amount, next payment date and status — active, completed or expired. Open the agreement and you see the payment schedule.
Every row in the schedule shows its date, amount, remaining debt and status. There are three statuses: “Pending”, “Paid” or “Overdue”. The photo or PDF attached when the agreement was created opens from this page as well.
How to record a payment
Tap the “Make payment” button at the bottom of the page. The window that opens shows the remaining amount of the next payment. From here there are two ways to go: type the amount yourself and tap “Pay entered amount”, or close the whole agreement with “Pay full amount”.
A payment always lands on the oldest unpaid row of the schedule. If the customer brings more than one monthly payment, the extra rolls over to the next row — you never have to think about which month to record it against. A partial payment does not close the row, but it does reduce the remaining amount.
Payments are recorded in the currency of the agreement — for an agreement in dollars, you enter the dollar amount. Every payment is saved with its date, so later you can see exactly when the customer paid and how much.

Confirmation SMS to the customer
As soon as the payment is saved, the customer receives an SMS: the “Payment completed” template if the row was closed in full, or the “Partial payment” template if it was not. The SMS states the exact amount taken off their balance, so the number the customer sees matches the number you see.
This SMS is only sent when SMS notifications are enabled in the shop and the customer has not opted out of receiving SMS. Once a row is paid, the reminders scheduled for it are canceled — the customer will not get a “payment due” message for a month they have already paid.
Completing or deleting an agreement
If the customer brings the whole remaining balance at once, choose “Pay full amount”. The app asks you to confirm, then marks every open row as paid and the agreement moves to “Completed”. The schedule stays in the history.
An agreement created by mistake can also be deleted. Deleting it removes its payment rows and stops the SMS reminders scheduled for it, so the customer does not receive any stray messages.
Accepting payments in the web version
If you work at a computer, the customer’s card in the web version has an installment section: total, paid and remaining amounts, the list of agreements and a payment window. You record the payment right there, and the payment history opens separately. The entry goes into the same database, so the schedule on your phone updates immediately.
How to use it
- In the customer’s card, open the “Installment” section and choose the agreement.
- Check the next payment date and the remaining amount in the schedule.
- Tap the “Make payment” button.
- Enter the amount and tap “Pay entered amount”, or choose “Pay full amount” to close the agreement completely.
- Watch the schedule update — the row switches to “Paid” and the customer receives a confirmation SMS.
Frequently asked questions
What do I do if the customer pays only half of the monthly amount?
Record the amount you received with “Pay entered amount”. The row stays “Pending”, but its remaining amount goes down, and the next payment starts from that balance.
Can I record a payment against the wrong month?
No. The app always applies a payment to the oldest unpaid row and rolls any extra over to the next one. You do not pick the month by hand.
How do I close an overdue row?
The same way as any payment: tap “Make payment” and enter the amount. The payment lands on the oldest open row — the overdue one — and its status switches to “Paid”.
Does a completed agreement disappear from the list?
No. It stays in the customer’s card with the status “Completed”, and the schedule and payment history remain open.
