Cash book sync: client and supplier payments recorded automatically
A client has paid off a debt — you recorded it on their card. Now does it need to go into the cash book as well? In many shops it is exactly this second step that gets forgotten, and the cash book drifts away from reality. Cash book sync does that step for you.
What lands in the cash book automatically
Two flows are synced. The first is client payments: when a client pays off a debt, an entry appears on the cash register’s “Income” tab under the “Mijozdan kirim” (income from a client) category. The second is supplier expenses: when you hand money to a supplier, an expense is recorded on the “Expenses” tab under the “Ta’minotchi” (supplier) category.
The entry takes the amount, currency, note and payment type from the original operation. The date is the day the payment was made, not today’s date — so last week’s payment does not distort the “Today” total. Who recorded it is kept too: if a seller took the payment, the cash entry carries their name.
Sync works for sellers as well. If the owner has switched the toggle on, the cash income appears by itself when a seller records a payment on a client’s card — nothing extra is asked of the seller. So the cash book stays complete no matter who is working that day.
- Client payment → cash income, “Mijozdan kirim” category
- Payment to a supplier → cash expense, “Ta’minotchi” category
- Amount, currency, payment type, note and date come from the original record
Where to switch it on
In the top corner of the cash register screen there is a settings button — only the shop owner can see it. It opens the “Cash register settings” window with two separate toggles: “Auto-add client payments to Kassa” and “Auto-add supplier payments to Kassa”. You can switch on just one of them, or both.
The setting is saved per shop. If you have several shops, you decide separately in each one: switch on the supplier flow in the wholesale shop, say, and only client payments in the retail one.
Backfilling past records
Switching a toggle on only affects new payments from that moment onwards. If you also want earlier months’ payments in the cash book, tap the “Backfill past records to Kassa” button under the relevant toggle. The app asks you to confirm, then copies all past payments into the cash book and tells you how many entries were added.
Tapping the button again is safe: entries that have already been copied are not added a second time. Backfilling does not switch the toggle on by itself — you can bring the history over first and switch on sync when you are ready. Canceled payments are not copied.
Cancelling and editing
A synced entry is tied to the original operation. Cancel a client payment and the income in the cash book disappears by itself; restore the payment and the income comes back. An expense that came from a supplier payment cannot be deleted from the cash book — the app asks you to cancel the original operation. That is deliberate: the figures must stay the same in both places.
Staff salaries work in a similar way: if you mark a payment to an employee as paid from the cash register, an expense appears in the cash book under the “Maosh” (salary) category, and it too stays tied to the original record.
How to use it
- Open the “Cash Register” section and tap the settings button in the top corner.
- Switch on the “Auto-add client payments to Kassa” toggle.
- If you need it, switch on “Auto-add supplier payments to Kassa” as well.
- To bring over old payments, tap “Backfill past records to Kassa” and confirm.
- Check the new entries on the cash register’s “Income” and “Expenses” tabs.
Frequently asked questions
Once sync is on, could one payment be counted twice?
No. Every client payment or supplier expense has exactly one entry in the cash book. Even if you tap the backfill button again, no duplicate appears.
If I switch sync off, will the cash book entries disappear?
No. Switching the toggle off only stops future payments; entries that have already landed stay in the cash book. You can switch it back on at any time.
Can a seller change this setting?
No. The cash register settings button is visible only to the shop owner. When a seller records a payment, sync works the way the owner set it.
Is this available in the web version?
The setting and the backfill button are in the mobile app. Entries that land in the cash book are stored like ordinary cash register entries.
