Keeping a shop cash book: record income and expenses on your phone
If the cash in the drawer does not match the notebook at closing time, the reason is usually simple: somebody forgot to write down an expense. In pDaftar the cash register is a separate section — every income and expense takes a few seconds to record and goes straight into the shop’s overall figures.
How the cash register screen is laid out
The cash register has two tabs, “Expenses” and “Income”. Each tab shows its own list and has its own add button. Every entry in the list shows the category, note, amount, date and who recorded it. This month’s total and today’s amount sit at the top, so you open the screen and see how the day is going at a glance.
To see the entries of a single category on their own, tap that category on the statistics screen — a list of every entry in it opens. That makes it easy to check at the start of the month how much each kind of expense came to.
What an entry stores
When you add an expense or income, you enter the amount and currency, pick a category, mark the payment type and, if you like, write a note. There are four payment types: “Cash”, “Card”, “Terminal” and “Bank Account”. That is what lets you separate cash in hand from money on the card at the end of the day.
The currency is chosen separately for every entry. If your shop works in both som and dollars, the cash book keeps each currency’s figures apart and nothing gets mixed up.
- Amount and currency — the currency is picked from a list
- Category — from the list you created yourself
- Payment type — cash, card, terminal or bank account
- Note — what for, to whom, which product
Creating your own categories
The category list is yours. While adding an entry, tap the “Add new category” row, type a name and pick a color — the category appears in the list right away. The color is used in the charts later on, so it is worth choosing colors that are easy to tell apart.
Expense categories and income categories are kept separately: “Rent” and “Utilities”, say, live on the expense side and “Sales” on the income side. Some categories the app creates by itself: “Maosh” (salary) for staff wages, “Ta’minotchi” (supplier) for payments to a supplier, and “Mijozdan kirim” (income from a client) for client payments. A category can be renamed or deleted later.
Editing and deleting
Tap an entry in the list and its details window opens: amount, category, payment type, note, and who recorded it and when. From here you edit or delete it. Before deleting, the app asks you to confirm, so an accidental tap will not lose an entry.
Some entries cannot be deleted from the cash register itself. An expense that arrived automatically from a supplier payment or a staff salary cannot be removed from the cash book — you cancel the original operation instead. The cash entry then disappears on its own, and the figures stay identical in both places.
Mobile app and web version
The cash register works the same way in the mobile app and in the web version: an expense you record on your phone shows up in the table on your computer straight away. In the web version entries are shown as a table, with a currency switcher and separate category management.
If you work with sellers, the cash register has its own permissions: adding entries, editing, deleting, creating categories and viewing statistics. You give each seller only the permissions they actually need.
How to use it
- Open the “Cash Register” section and choose the “Expenses” or “Income” tab.
- Tap the add button and enter the amount and currency.
- Pick a category, or create your own via “Add new category”.
- Mark the payment type: cash, card, terminal or bank account.
- Add a note if you need one and save — the entry goes into the list and into the month’s total.
- Made a mistake? Tap the entry to edit or delete it.
Frequently asked questions
What expenses should I record in the cash book?
Any amount that leaves the shop’s money: rent, utilities, transport, wages, small purchases. You create the categories yourself, so the list fits your shop.
Can I record income in dollars and an expense in som?
Yes. The currency is chosen for each entry separately, and totals and the balance are calculated per currency.
Can a seller delete a cash register entry?
Only if you have given them the delete permission. Permissions are switched on one by one in the seller’s settings.
Does the cash register work on the free plan?
Yes, recording income and expenses is available on every plan. The differences between plans are shown on the pricing page.
